JOB SUMMARY

The Burning Man Community Events Team is seeking a full-time Event Producer to assist with the planning and execution of year-round events. This year-round portfolio of events will support Burning Man Project’s departments, programs, and initiatives through a combination of internal, public, in-person, and virtual events. This role reports directly to the Executive Producer, and works closely with the Associate Director of Community Events.

This is a regular, full-time, exempt role, based in either Reno, NV or San Francisco, CA.

DUTIES & ESSENTIAL JOB FUNCTIONS

Projects Include, but are not limited to:

  • Virtual conferences, meetings, and webinars
  • In-person conferences, convenings, socials, and gatherings in varied settings including but not limited to offices, conference centers, public spaces, venues, and remote, off-grid camping.
  • On-playa events

This role includes coordination and management of BMP Year-Round event operations as well as event production specific tasks including but not limited to:

  • Interdepartmental communications
  • Calendar management for overall event schedule as well as individual event planning and execution
  • Organizing and implementing registration / ticketing functions within the BMP ticketing platform
  • Maintaining meeting schedule, cadence, agendas
  • Managing document creation, archiving, and updating for department and specific events
  • Updating and contributing to standard operating procedures, event planning tools and templates
  • Contributing to event design and direction
  • Collaborative work with individual event producers, advising on pre-production and in-event execution
  • Creating and maintaining presence of year-round events on burningman.org, in coordination with Tech and Communications teams
  • Coordinating volunteers and contractors associated with year-round events
  • Working with BMP Legal to create and manage year-round event-related contracts including vendors, contractors, event employees, and IP agreements
  • Working with BMP Accounting to properly manage payables, receivables and reports
  • Creating and maintaining diagrams of event sites for informing permitting, operations, budgeting and historical knowledge
  • Contributing to development of BMP standard operating procedures (SOPs) for recurring events and event-related systems
  • Helping with archiving of event-related documents and recordings
  • Perform other duties as assigned


LEARNING AND TEACHING

  • Documentation - Assists in the creation, publishing, and maintenance of process documentation related to their assigned duties.
  • Knowledge sharing – Helps acculturate and educate junior staff in Burning Man culture and business processes.
  • Training development - Collaborates with the education team to develop training materials in their area of expertise, as requested.
  • Learning – Pursues ongoing learning in their area of expertise, working to stay current on emergent knowledge, skills, and processes.


QUALIFICATIONS

REQUIRED

  • 10+ years of event production experience including conferences, meetings, large capacity festival styled events
  • Working understanding of virtual meeting production using Zoom and other platforms
  • Working understanding of cue to cue operation of meetings, performances, happenings
  • Strong knowledge of Google Drive and related Google tools, Asana
  • Working understanding and ability to implement Project Management skills
  • Ability to liaise with with professionals operating venues and services associated with event venues
  • Experience with WordPress web platform and event listings
  • Ability to learn and work within BMP preferred event ticketing and registration platform
  • Working knowledge of Excel (Google Sheets), Word (Google Docs), Power Point (Google Slides)
  • Ability to project costs (budget) for events in an accurate manner
  • Ability to create post event budget reconciliations / reports


PREFERRED

  • It is helpful if the candidate has previously been to Burning Man and/or is familiar with its culture.

Compensation
:

Individual compensation decisions are dependent on a variety of factors, including prior experience and geographical location. The anticipated pay rate for this position is $65,000 - $85,000 annually.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

This position requires periods of heavy lifting, bending, kneeling, squatting, and climbing. This position will be physically demanding, and requires individuals with good physical health, and endurance. Work will include the need to find and meet with department representatives who may not be in the vicinity therefore this could include walking or using some form of transportation. Much of the work will be in outside weather conditions and will be exposed to fumes or airborne particles as well as possible extremes in temperature.
