Job Description


The Executive Assistant to the CEO will provide high-level administrative support to the CEO, while also managing day-to-day office operations. The ideal candidate should be able to multitask, think critically and creatively, anticipate needs, complete special projects, and proactively update key stakeholders. This role will require a high level of discretion and the ability to maintain confidentiality. The successful candidate must have excellent communication skills, be proficient in Microsoft PowerPoint, Outlook, Teams and Excel, and have experience managing office functions. The candidate should also possess the ability to make quick and effective decisions when faced with ambiguity or uncertainty. The successful candidate should be able to adapt quickly to changing priorities and business needs.

Responsibilities:

  • Manage the CEO's calendar and schedule appointments, meetings, and travel arrangements
  • Completing and submitting expense reports
  • Serve as the point of contact between the CEO and internal/external stakeholders; communicate directly, and on behalf of the CEO to key internal/external stakeholders
  • Prepare reports, presentations, and other documents using Microsoft PowerPoint and Excel
  • Complete special projects as assigned by the CEO
  • Anticipate needs and proactively update key stakeholders on upcoming events, meetings, and other relevant information
  • Manage office functions, including ordering supplies, overseeing vendors, and maintaining office equipment
  • Handle confidential information and maintain strict confidentiality
  • Ensure that the office operates smoothly and efficiently
  • Display sound judgment and the ability to think critically and make decisions in a timely manner
  • Willingness to receive feedback and implement changes to improve performance
  • Eager to take on new tasks as needed and show a strong interest in learning different aspects of the business

The salary range for this role is $66,150 to $73,500.


Qualifications


Qualifications:

  • Bachelor's degree or equivalent experience in a related field
  • 3+ years of experience in a similar role supporting a CEO or executive
  • Excellent organizational skills with the ability to multitask and prioritize
  • Strong critical thinking and problem-solving skills
  • Proficient in Microsoft PowerPoint, Outlook, Teams and Excel
  • Strong written and verbal communication skills
  • Ability to work independently and as part of a team
  • Ability to maintain confidentiality
  • Experience managing office functions, ordering supplies, and overseeing vendors
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, employees and external vendors
  • Comfortable working in a small office environment with a team of 5 people
