Maintenance Administrator [United States]


 
Overview:
SUMMARY:
The Maintenance Administrator will play a pivotal role within the Maintenance department of Corporate Wings. This position will serve as a liaison between Maintenance and other Corporate Wings departments. This position will also have vendor interaction related to the aircraft maintenance events and billing disputes. The Maintenance Administrator will assist with streamlining processes to improve overall efficiency and productivity.

RESPONSIBILITIES:
  • Provide high-level support to the Director of Maintenance.
  • Develop a thorough understanding of the CAMP maintenance tracking program.
  • Research daily within CAMP for Mx events and invoice confirmations.
  • Coordinate with Flexjet Maintenance Control for MX event planning/oversite/approvals.
  • Develop a thorough understanding of Concur Travel and Expense System.
  • Work within Concur to retrieve invoices for payment processing.
  • Review vendor invoices for accuracy.
  • Contact vendors for dispute resolution.
  • Process invoices to accounting department for payment.
  • Manage monthly accounting scheduled/unscheduled reports.
  • Manage monthly Flexjet Managed Partners billback reports.
  • Additional administrative duties as assigned.

REQUIREMENTS EDUCATION:
  • Bachelor's Degree preferred; 2-4 years of university or trade school and/or other administrative training in business, office administration required.
EXPERIENCE/OTHER QUALIFICATIONS:
  • Advanced skills and experience in MS Word, Excel, Outlook, and PowerPoint is required.
  • Excellent writing, grammatical, editing, and proofreading skills required.
  • Exceptional interpersonal, verbal, written, and cross-cultural communication skills.
  • Must be detail-oriented, able to develop and maintain highly organized work environment, and able to effectively prioritize.
  • Ability to work in a fast-paced team environment.
