Organization Overview
At the Boys & Girls Clubs of the Peninsula (BGCP), our business is changing lives. We are a vibrant, entrepreneurial nonprofit organization that is committed to partnering with schools and the community to ensure students from low-income neighborhoods graduate from high school, ready for college and career. We are the largest expanded learning time organization in the heart of Silicon Valley, serving 2,500 K-12 students at 17 sites in East Palo Alto, Menlo Park, and Redwood City. In neighborhoods where one-third of the youth drop out of high school, BGCP members learn the importance of education and become part of a community of learners, wanting and expecting to succeed in school. In 3 clubhouses and 14 school sites, we implement proven social and academic interventions and provide engaging enrichments that most impact a youth’s achievement in school and in life.

We are also excited to announce that we are joining forces with the two Boys & Girls Club chapters in the northern part of San Mateo County to serve students from East Palo Alto to Daly City. We are rapidly growing and seeking top talent to help us fulfill our commitment to our community.

Position Overview:
As Office Clerk, you will work collaboratively with the on-site leadership team and program staff at our San Mateo Park Elementary School in San Mateo, where we provide academic support and enrichment offerings to k-5th students. You will provide office, administrative, and logistical support to ensure our program can run in an efficient and safe manner.
The Office Clerk role is a seasonal/temporary role for Summer 2023.

Employment Status: Part-Time, Seasonal/Temporary

Expected Work Hours: Monday-Friday from 12:00-6:00 PM

Program Dates: May 26th-July 28th

Compensation: $21.00 - $29.00 per hour (DOE)

Location: San Mateo Park Elementary School in San Mateo

What will you do?

Administrative & Site Management
  • Manage the BGCP office and associated operations during program hours
  • Greet, monitor, and track all members and visitors on site, including parents and volunteers
  • Manage student sign-in and sign-out process
  • Answer all phone calls and return messages in a timely manner
  • Manage office, first aid, and program supply inventories
  • Ensure that the office is neat and organized and fosters physical and emotional safety and customer service
  • Create a positive work atmosphere and foster teamwork and constructive exchange of ideas with peers
  • Manage daily snack and lunch processes (if applicable)
  • Participate in planning and executing special events as needed (if applicable)
  • Undertake other duties as assigned
Enrollment, Attendance, & Data Management
  • Manage site enrollment and daily attendance
  • Enter all enrollment data in Salesforce, BGCP’s database
  • Generate and communicate attendance and membership reports for site leadership staff and to meet ASES reporting requirements
Student, Parent, & Outside Partner Relationships
  • Build positive relationships with students in the program
  • Support and maintain BGCP behavior standards and discipline policies
  • Set high expectations for students and demand compliance
  • Supervise youth if asked to, either in the office or as coverage for a classroom instructor
  • Communicate with students and families regarding enrollment and attendance issues
  • Greet and welcome parents into the program on a daily basis
  • Communicate and disperse information about upcoming events and activities to members, families, and the public. Ensure that all information posted and dispersed is up-to-date and accurate.
  • Maintain positive relationships with all staff, students, volunteers, outside partners, as well as all visitors.

Onboarding Process - All requirements under the onboarding process will be covered by BGCP
  • Vaccinated against COVID (unless a religious or medical exception applies)
  • Complete LiveScan background check
  • Tuberculosis (TB) test
  • Mandated Reporter Training
  • Sexual Harassment Training
Job Qualifications
What qualifications and requirements are needed?
  • Spanish fluency is strongly preferred
  • Commitment to BGCP’s mission and vision and working with youth
  • Experience working with diverse youth and communities of color
  • Keen attention to detail and ability to create systems for efficiency and effectiveness
  • Maturity and strong communication skills
  • Energy, leadership skills, strong initiative, ability to motivate through positive reinforcement
  • Positive attitude, team player, strong customer service orientation
  • Administrative experience with an excellent knowledge of standard office practices
