Position Description:

We are seeking a highly organized individual with dynamic interpersonal skills to support the Executive Coordinators and the President of Redrock Entertainment. This is a full-time position at our main office in Burbank, California and requires someone who thrives in a fast-paced and highly visible executive office. A basic understanding of various entertainment industries such as film, TV, and live event production and development is preferred, and/or an eagerness to learn.

Responsibilities:

  • Support the Executive Coordinators to liaise between other executive offices and the Office of the President.
  • Compose and prepare confidential correspondence, reports and other documents needed in the executive office.
  • Assist with managing multiple complex schedules across various time zones.
  • Coordinate travel arrangements together with travel agents, including flights, hotels, and car services as requested.
  • Create itineraries, including all confirmations and contact information for flights, hotel and transportation. Updates itineraries and check for new information pertaining to travel. Prepare and update travel schedules.
  • Handle personal affairs and minor errands including but not limited to; order lunch, pickup car from car wash across the street, go to postal office, etc.
  • Take ownership and support with special projects as directed by the Executive Coordinators, President, and Co-Owners.
  • Assist with planning and coordinating special events ensuring flawless execution.
  • Assist with ideas and execution of corporate gifting and activities for staff and clients.
  • Manage and track receipts.
  • When needed, assist with managing the office alongside the Receptionist/Office Assistant.
  • Performs other tasks as required.

Basic Qualifications:

  • Minimum 1 years related experience in a Studio, Agency, or Production Company.
  • Basic understanding of the entertainment industry.
  • Excellent written, verbal, and interpersonal skills.
  • Organized and detail oriented.
  • Ability to represent the Executive office and Company in a professional yet approachable manner.
  • Strong coordination skills to handle multiple tasks, appropriately prioritize work and proactively manage time in order to remain focused and flexible in a fluid, fast-paced environment.
  • Ability to work independently.
  • Strong proficiency in and working knowledge of Outlook and other Microsoft Office Products such as Excel and Word.
  • Adaptable to a variety of situations with numerous personalities.
  • You must have a reliable, working vehicle and knowledge of how to get around Los Angeles.
  • Extreme discretion with sensitive information.
  • Must be legally authorized to work in the United States.

Preferred Qualifications:

  • Ability to travel as needed.
  • Ability to work flexible hours in a dynamic environment.
  • A tech savvy knowledge of devices including phones, computers, and printers.
  • Proven ability to work effectively with C-Level executives and senior-level clients.
  • Well-travelled is a plus but not necessary.
  • Enjoys working in a team and has a “no job is too small” mentality.

Job Type: Full-time

Pay: $25.00 per hour
