About the Position

The Payroll Specialist is responsible for managing all payroll related workflow, including processing and timely delivery of semi-monthly payroll and Partner draws.

Essential Duties and Responsibilities

  • Ensure that all payrolls/draws are processed accurately and timely in compliance with state and federal law, including but not limited to the following processes:
    • Review submitted timesheets and create files necessary to calculate payroll
    • Track changes per payroll cycle and ensure any adjustments are accurately processed
    • Review and process payroll reports to ensure balancing and accuracy
    • Process necessary wires (401k) post payroll submission
    • Update and reconcile payroll tax information with tax money collected and deposited by vendor for accuracy
    • Prepare PTO (every payroll) and overtime (monthly) reports and distribute to management
  • Prepare off-cycle payrolls and manual checks (new hires, terminations, ad hoc, etc.)
  • Maintain accurate data in HRIS; process changes to employee payroll information, including tax changes, direct deposit, and garnishments
  • Create new earning and deductions codes and ensure proper taxation of codes; coordinate with finance for mapping to general ledger
  • Ensure employee W-2's are accurate and provided timely
  • Process Multiple Worksite Report; run report from payroll system and submit to the state on quarterly basis
  • Respond to all non-partner verifications of employment
  • Request and allocate employee insurance checks based on employee group/job title
  • Respond to all employee payroll related questions in a timely manner
  • Assist the finance department with reconciliation, audits and other projects related to payroll
  • Create and process ad hoc financial reports
  • Assist and provide information for annual 401k audit
  • Create monthly file for Partner insurance deductions
  • Create payroll timesheet schedule and exempt vacation calendar template annually
  • Receive and update all exempt staff, associate and paralegal vacation balances
  • Other duties and tasks assigned by direct supervisor

Must have excellent written and verbal communication skills and the ability to effectively communicate with all levels of firm personnel. Must be able to manage multiple priorities and deadlines and be a team player.

The candidate must be proficient in Microsoft Office (Outlook, Word, Excel) and Windows applications. Prior experience with UKG preferred.

Education and/or Experience

Bachelor's degree is required along with 5 years of progressive experience, preferably in a law firm or other professional services environment.

Compensation

Allen Matkins LLP is an Equal Opportunity Employer and offers a competitive compensation & benefits package. The anticipated base salary range for this full-time role is $90,000 - $115,000 per year. Actual salary will depend upon a number of factors, including, but not limited to, relevant experience, job-related skills, qualifications, and location.

The base salary range displayed on the job posting reflects the estimated range for new hire salaries for the position. The actual offered base salary will be determined by work location and additional factors, including, but not limited to, relevant experience, job-related skills and qualifications. The pay range is subject to change at any time dependent on a variety of internal and external business factors.
