Provides administrative/secretarial support, including, but not limited to, scheduling and coordination of meetings/seminars/travel, coordinating priorities throughout the day, perform independent and collaborative projects as needed.
Essential Duties:
- Responsible for coordinating schedules, including arranging meetings and appointments. This includes assisting with the coordination of events as directed.
- Responsible for functioning as liaison between Administrative Team, Administrative Support Staff, Physicians, Department Directors, and Customers assisting with projects.
- Responsible for coordination and tracking of work flow, schedules and projects to ensure work is complete/appropriate, and follow-up is completed in a timely fashion.
- Responsible for using sound judgment when complications arise outside the scope of authority, such as the need for deadline augmentation, and bringing these to the attention of the appropriate Administrative Representative(s) in a timely manner.
- Responsible for maintaining security of information: e.g. patient medical records, hospital financial information, salary, staff and legal information in a confidential nature.
- Compose, produce, and review a variety of business correspondence, reports, budget preparation data, confidential documents, forms, and related materials.
- Responsible for filing and maintaining records pertinent to the functions of the Operations Team.
- Create spreadsheets and tables, utilizing functions (formulas) and manipulating the data to retrieve desired information.
- Provides guidance and direction to staff and/or student workers, as assigned. Schedules, assigns or prioritizes workloads.
- Performs other duties as assigned.
Required Qualifications:
- Req High school or equivalent
- Req Demonstrates excellent verbal and written communication skills.
- Req Strong organization skills.
- Req Computer literacy in word processing, spreadsheets, etc., is required
Preferred Qualifications:
- Pref Bachelor's degree Strongly preferred.
- Pref 5 years Previous experience in a healthcare administrative support role.
Required Licenses/Certifications:
- Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)
The hourly rate range for this position is $22.00 - $34.18.
